How to Properly Respond to Electronic Refill Requests – Medisoft Clinical EMR

Summary

Pharmacies can send refill requests electronically to providers enrolled with Surescripts who are using Practice Partner\LytecMD\Medisoft Clinical.  If refill request messages are not responded to properly, pharmacies may stop sending requests electronically and fax or call them in instead.  Using the ‘Renew’ or ‘Renew All’ functions from the Rx/Medications tab in the patient’s chart actually sends a new prescription (NEWRX) message and not a refill response (REFRES) message This document describes in detail how properly respond to refill request messages.

Replying to Refill Request Message

Steps:

  1. Open the refill request message
  2. Click on Reply — the refill response window appears.  If the interface was able to determine which patient the refill request is for, it will automatically link to that patient.  However, if it was not able to determine which patient, you can click the Patient Lookup button to find the patient and link the request.  The First, Middle, Last names and date of birth are used for matching.  Once a request message is linked to a patient, it cannot be un-linked.
  3. The medication selection window may appear if it cannot determine an exact match of the medication in the patient’s chart to be renewed.  Choose the correct medication, then click OK.
  4. Once the message is linked to the correct patient and medication, you can Approve, Deny, or Change the request.
